Many people might think wedding planning is all about choosing color palettes, food & cake tastings, and making everything look pretty, but the reality is quite different. There is a lot of behind-the-scenes work that is not shown. Wedding planning requires a significant amount of tedious logistical and procedural work, including endless administrative tasks, spreadsheet management, and working long, anti-social hours. The job involves several unglamorous aspects, and one of the most is probably leaving until the venue is exactly the way it was before the wedding and having to wake up early the following morning, so we got to be true troopers.

As wedding planners, we must be uber-organized, have connections in the industry, and be able to give precise advice to our couples. Wedding planning also involves a lot of tedious logistical work and administrative tasks. Connections are essential in this business, and planners need to be familiar with different locations, vendors, and service providers in the area. Planning a wedding involves a lot of logistical work that includes getting various permits, assisting with contracts, knowing venue codes, and networking with different managers.

When a couple contacts us, the first step is to discuss the type of venue, the number of guests, and the budget. Typically, clients hire us 12 to 18 months before their wedding, and we even may be working on up to 10 weddings at the same time, so there is a lot of info to shuffle. Yet we manage to respond to our clients ASAP with the patience and attention to detail your wedding deserves. Is super important we do not get overwhelmed easily with all the information and situations we handle at once. This is easy for us, as we are truly driven by passion in what we do. We also arrange and do many site visits to venues and handle bookings. We will also sort out the other vendors, including the band or DJ, photographer, videographer, officiant, stylist, hair and makeup, transport, valet, food, and wedding cake.

We send a design presentation with the wedding concept, including the design of floral arrangements, signage, and stationery. Once it’s approved, we go into production. This stage comprehends curating all the aesthetic elements, such as lighting, staging, rentals, furniture, and florals.

Wedding planning also involves managing costs. It is important to explain the reason behind the costs to clients and help them understand the value of different services.

On the day of the wedding, we are present throughout the entire wedding day, starting from early morning until the end of the day. We always like to arrive from the beginning of the setup to supervise that everything is properly done, and sometimes we start setting up lighting and staging the night before. Usually, we work with a planner and two assistants on the day of the wedding and are in constant communication with each other to cover everything from the setup to the getting ready. Many times, we will flip the venue and relocate elements, being careful enough so guests don’t notice. Flipping involves seamlessly transforming the space into a stunning ceremony area and then quickly transitioning it into a dinner setting while guests enjoy cocktails, which is only an hour, so adds a little extra rush to our busy day.

Executing a wedding day is no small feat, and it always takes a village to make it happen. We must be able to lead our team and be on top of every detail, including any issue that could arise or anything the bride and groom need.

We are always equipped with an emergency kit containing a myriad of items that might be required on the big day. From painkillers, band-aids, and safety pins to Tide pens, and sewing kits to handle any unexpected situations. Bridesmaids tend to ask for a range of seemingly random items. As a wedding planner, is essential to address and resolve any issues behind-the-scenes to ensure the couple’s day goes as smoothly as possible and you don’t have to bother about any of these issues.

Overall, putting together a wedding day is a collaborative effort that requires the skills and expertise of many individuals, but most of all, an expert leader. We love what we do, we have a tear in our eye in each of our wedding ceremonies, and our heart is so warm and satisfied with the magical end result, knowing we created an unforgettable day for the happy couple and their guests.
